This Master’s thesis analyses the application of a document management system in work organisation and assessment in educational institutions. The topic is highly relevant since in Lithuanian educational institutions such systems are still rarely used. Hence, an important question arises: how to use ICT effectively in document management in an establishment? The research which has been conducted revealed that educators agree to use a document management system at work on condition that it is free of charge and is user-friendly. In this way, a problem comes to light: the choice and implementation of a document management system at school depending on the needs, requirements and recourses of an educational institution. Based on this problem, the objective of work was to analyse services and activities requiring document management systems of ICT infrastructure and provide recommendations allowing to select the most convenient management systems to carry out this work. This Master’s thesis analyses the functionality of the document management system, great attention is devoted to ITIL v4 methodology application in optimising work processes in educational institutions. The analysis of IT infrastructure and activities in an educational institution as well as the classification of internal documents has been carried out. The survey which has been conducted among gymnasium teachers enabled to determine the functional requirements of a document management system necessary to manage documents in one Lithuanian gymnasium. Based on the data and ITIL methodological recommendations, DMS was actualised in an educational institution. The research about the system appropriateness revealed that teachers assessed it as very useful and comfortable. To conclude, a document management system was implemented for the educational institutions’ internal documents while facilitating teachers work and saving time as well as finances has been realised in this thesis. |
